Travelshoppe Travel Terms & Conditions

Introduction

This agreement is made with Travelshoppe Company Ltd (hereinafter referred to as TSC). It is subject to the following terms and conditions, which may be amended from time to time in all TSC brochures or other TSC publications. By making a booking with TSC, the agent or client (hereinafter referred to as the Client) acknowledges that he/she has read, understood, and agreed to be bound by these conditions.

Booking Terms and Information

  • Always provide the exact name as it appears on the passport, as name changes are not allowed once a booking has been confirmed.
  • All airfare rates are subject to change without prior notice at any time before the ticket is issued.
  • Once a ticket is issued, changes or refunds will incur applicable fees unless the ticket is canceled on the same day of issuance (in which case standard change fee and refund policies apply).
  • Reconfirm your reservations at least 72 hours before departure. (It is preferable to complete check-in online whenever possible.)
  • Cancel any bookings you will not travel on to avoid no-show charges.
  • Cancellation fees and penalties may apply and are determined on a case-by-case basis.
  • Ensure you have a valid passport, the necessary visa(s), and any required health vaccinations for the country you are visiting or transiting through.
  • Arrive at the airport 3 hours before departure for international flights and 2 hours before departure for domestic flights.*
  • If you encounter any challenges while en route to the airport, contact us immediately so we can assist where possible.*
  • If you wish to pay in a different currency than the one on your invoice, please request the applicable rate of exchange in advance.

 Client’s Insurance and Responsibilities

  • The Client must ensure he/she has adequate travel insurance covering personal accident, medical expenses, emergencies, and loss or damage of property. Without such insurance, the client risks losing all or part of their travel investment if an incident occurs.
  • The Client is responsible for making sure all travel documents (passport, visas, etc.) are in order before travel.
  • The Client must reconfirm all airline flights at every stopover, at least 72 hours before the next flight’s departure time.
  • The Client is responsible for informing TSC of any special requirements (dietary needs, disabilities, medical conditions, etc.) that may affect their comfort or participation during the tour. TSC will endeavor to accommodate these requests, but will not be held liable if it is unable to fulfill them due to circumstances beyond its control.

Other Information

  • TSC offers visa processing services for selected countries, particularly those that do not require the traveler to appear in person for the visa application.
  • Please inform us of your meal and seat preferences in advance so we can communicate them to the airline.
  • Passport validity: Passports must be valid for at least 6 months beyond your travel dates.
  • Passport pages: Ensure your passport has at least one full blank visa page for entry/exit endorsements.
  • Check expiration dates: Reconfirm the expiration dates on your passport and credit cards before travel.
  • Keep digital copies: It is strongly recommended to save scanned copies of your passport and credit cards in your email or cloud storage (this can be invaluable in case of loss or theft during travel).
  • Travel insurance: Even if not mandatory for your destination, it is highly advisable to purchase travel insurance for your trip.
  • Proof of accommodation/contact: Always carry a hard copy of your hotel booking confirmation or local contact details at your destination, as immigration officers (especially for international travel) may require this proof at the port of entry.
  • Weather and packing: Familiarize yourself with the weather conditions of your destination and pack appropriate clothing and gear.
  • Medications: If you take any medications, ensure you bring an adequate supply for the duration of your trip (plus a little extra for emergencies or unexpected delays).
  • Emergency contacts: Keep the contact information of your travel agent and a next-of-kin with you in case of an emergency.
  • Luggage restrictions: Note that some domestic carriers (especially on safari routes) strictly enforce limited luggage allowances. Always adhere to these limits to avoid inconvenience, as smaller aircraft cannot accommodate excess or oversized luggage.
  • Additional services: TSC also offers a range of travel services, including inbound and outbound leisure and safari packages, hotel accommodation, car hire, and MICE (Meetings, Incentives, Conferences, and Exhibitions) arrangements.
